Specialists are focused AI personas. {{aiName}} remains the general workspace assistant. Create specialists from templates, then add Routines to run on a schedule or when workspace events fire.
Who this is for
Workspace members with AI chat. Some templates require Professional+ connectors for routine reads.
Before you start
Permission to open Chat and create specialists.
AI chat enabled for your workspace.
Steps
Open Chat and click New specialist.
Pick a template such as Competitor Watcher, OKR coach, Task closer, or Wiki librarian. Or choose Create your own and set Name, Colour, and Shape.
Click Get started to open the specialist chat.
Open Routines from the specialist chat (or Tools → Routine to create the first).
Write a Routine prompt and choose Runs: On a schedule (daily, weekly, monthly) or When a workspace event fires.
Optionally include MCP connectors for routine-safe reads. Save the routine.
Click Test run to verify output. Use Pause or Resume as needed.
Edit Skill from the Routines sheet to set standing rules for live chat, then click Save skill.
Link a routine to a workspace automation with Use in an automation when you want events outside the schedule to trigger it.
What you should see
The specialist chat responds with its persona and skill. Scheduled routines deliver output to Chat or {{aiName}} Hub. Test runs show preview output before you rely on the schedule.
Troubleshooting
New specialist is missing Open Chat from the sidebar and use the New specialist button in the conversation list or composer tools.
Routines option is not shown Some templates such as Process mapper do not expose Routines. Pick a template that supports scheduled or event routines.
Routine cannot reach an external app Connect the app under Connections and enable routine-safe tools for that connector.

What is Skill on a specialist?
Skill holds standing rules for how the specialist behaves in live chat. Edit it from the Routines sheet.
How do I pause a routine without deleting it?
Open Routines for the specialist and use Pause. Resume when you want scheduled runs again.
Can workspace automations start a routine?
Yes. Use Start {{aiName}} loop as an automation action and pick an existing routine.
