Professional+Auto-schedule places unscheduled tasks into open hours around leave, meetings, and schedule buffers. Use Fill my week to plan the week ahead, or turn on ongoing auto-schedule in calendar settings.
Who this is for
Workspace members with a Professional+ plan. Admins can set workspace defaults for horizon, daily hour caps, schedule buffers, and whether time estimates are required.
Before you start
A Professional+ plan for your workspace.
Tasks with time estimates for placement (when your workspace requires them).
Working hours set on your profile or workspace calendar settings.
Steps
Open Calendar from the sidebar.
Open the Create menu and choose Fill my week.
Review the proposed work dates. Due dates stay the same; accepting pins do dates to the calendar.
Click Pin these dates to confirm.
To run auto-schedule after leave or meeting clashes, open calendar settings and enable Auto-schedule my work.
In calendar settings (or auto-schedule settings), set After meetings and After tasks buffers. Buffers appear as lighter blocks on the week view and push the next placement later.
Check recent moves under Auto-schedule history when you need to see what changed.
What you should see
Tasks appear on your calendar in open working hours. Buffer blocks show after meetings and between auto-scheduled tasks. Pinned do dates stay fixed until you change them. Clashing work may move when auto-schedule runs or when you accept a reschedule prompt.
Troubleshooting
Fill my week is greyed out or missing Confirm your workspace is on Professional+ and that you have permission to use Calendar.
No tasks were placed Check that tasks have time estimates, open working hours on the right days, and are not already pinned or completed.
Tasks moved after I booked leave Auto-schedule may reschedule unpinned work around approved leave. Pin important do dates or choose Ask me when work clashes in settings.
Gaps look too short after meetings Increase the After meetings buffer in calendar settings so auto-schedule leaves recovery time before the next task.
Common questions
What is the difference between Fill my week and Auto-schedule my work?
Fill my week is a one-off action you run from the Create menu. Auto-schedule my work keeps placing and adjusting tasks when leave, meetings, or other clashes appear.
Do due dates change when I auto-schedule?
No. Auto-schedule sets or moves do dates on the calendar. Due dates stay as they were on the task.
What does Place tasks by mean?
It controls which task date auto-schedule respects: due date, start date, start to due, or do date. Admins can set a workspace default.
What are schedule buffers?
Optional minutes after meetings or between tasks. They show on the week calendar and are respected when Fill my week or auto-schedule places work.
