Inviting your team

Invite colleagues to your workspace, assign roles, and onboard new members. Administrators control who can access the workspace and what they can edit.

Who this is for

Workspace admins with permission to create team members.

Before you start

  • You are a workspace admin.

  • Work email addresses for each invitee.

  • A clear role choice (Admin, Editor, Viewer, or a custom role template on Professional+).

Steps

  1. Open Workspace Settings from the sidebar footer.

  2. Open the Team Management tab.

  3. Click Invite Member and enter work email addresses.

  4. Assign a consolidated role (Admin, Editor, Viewer) or a custom role template.

  5. Review license and billing impact on paid plans before you send invites.

  6. Click Send Invitation. Invitees receive a link to create or link their account.

  7. After members join, confirm each person appears in the team list with the correct role.

  8. Point new users to Getting Started and the Quick Start Guide.

What you should see

Pending invitations appear in Team Management. When invitees accept, they show as active members with the role you assigned.

Troubleshooting

  • Invite Member is disabled Confirm you are a workspace admin and not in a demo workspace. Demo workspaces block invitations.

  • Invitation email did not arrive Check spam folders. Resend from the pending invitations list if the link expired.

  • Seat limit reached Review billing on the Billing tab or remove inactive members before sending more invites.

Common questions

What is the difference between Admin, Editor, and Viewer?

Admins manage workspace settings, billing, and members. Editors create and update most content. Viewers have read-only access to permitted areas.

Can I change a role after someone joins?

Yes. Open Team Management, find the member, and update their role. Changes take effect immediately.

How do I remove access when someone leaves?

Update their role if responsibilities change, or remove them from the workspace. See User Management for offboarding steps.
