Gmail - Setup & usage

Gmail - Setup & usage

Follow these steps to connect Gmail, create connected KPIs, and keep syncs healthy.

Before you connect

  • Confirm you have admin or integrator access to the Gmail account you want to measure.

  • Connection uses OAuth 2.0.

  • Only connect accounts your organisation owns or is authorised to report on.

Connect

  • Open Chat, then Inbox settings, then the Inboxes tab.

  • Under Email inboxes, connect Gmail and approve the Google consent screen.

  • You can also connect Gmail from Workspace Settings → Integrations.

  • Choose Sync now on the account card. Large mailboxes return estimated counts for some activity metrics.

Use the mailbox

  • Select Gmail on the Chat mode rail.

  • Reply, forward, compose, apply labels, schedule a send, and attach files.

  • The sync icon refreshes after you send or receive mail in Gmail itself.

  • See Connected inbox for sharing an account and for how triage works.

Troubleshooting

  • Gmail is missing from the mode rail - confirm Professional+, that Chat inbox is enabled, and that the account finished connecting.

  • Consent cancelled - connect again from Inboxes and finish the Google screen.

  • Threads look old - choose Sync now on the account card or the sync icon in the panel.

  • A contact has no threads - the contact email must match a sender or recipient on a synced thread.

Create connected KPIs

  • On KPIs & Dashboards, create a KPI, choose Connected, and pick your Gmail connection.

  • Select a data point from the catalog (see the Data points article in this folder for the full list).

  • Set a sync frequency. An initial sync runs after save; use Resync on the KPI card for on-demand updates.

  • Review last sync time and error messages on the KPI detail page. Reconnect in Integrations if auth expires.

Sync frequency guidance

  • Daily - traffic, ads, engineering, and operational metrics reviewed weekly.

  • Weekly - summary KPIs for leadership dashboards.

  • Monthly / quarterly - finance and board-level accounting metrics.

  • Match frequency to how often you review the metric. Use Resync after configuration changes.
