Google Calendar - Setup & usage

Follow these steps to connect Google Calendar, create connected KPIs, and keep syncs healthy.

Before you connect

  • Confirm you have admin or integrator access to the Google Calendar account you want to measure.

  • Connection uses OAuth 2.0.

  • Only connect accounts your organisation owns or is authorised to report on.

Connect

  • Open Calendar, then Settings, then Connections.

  • Choose Connect on Google Calendar and approve the Google consent screen.

  • Allow pop-ups if the consent window is blocked.

  • After it connects, pick which Google calendars count as busy time.

What to leave on

  • Google Tasks calendar is on by default. Scheduled work then appears on a separate Elevale Tasks calendar in Google, marked busy.

  • Turn that switch off if you only want to import busy time and send meeting invites.

  • Use Sync now on the connection if a new Google event is not blocking the week yet.

Meetings and leave

  • Create the meeting in Elevale. See Creating meetings.

  • Guests receive the Google invite when they have an email address. Their RSVP updates on the meeting.

  • Approved leave is written to Google as busy time while this connection is active.

Troubleshooting

  • No busy time - pick at least one calendar on the connection, then Sync now.

  • Invite has no join link - the link comes from the connected calendar. Confirm the connection is active.

  • Work blocks missing in Google - turn Google Tasks calendar on under Export work blocks, then schedule the work again.

Create connected KPIs

  • On KPIs & Dashboards, create a KPI, choose Connected, and pick your Google Calendar connection.

  • Select a data point from the catalog (see the Data points article in this folder for the full list).

  • Set a sync frequency. An initial sync runs after save; use Resync on the KPI card for on-demand updates.

  • Review last sync time and error messages on the KPI detail page. Reconnect in Integrations if auth expires.

Sync frequency guidance

  • Daily - traffic, ads, engineering, and operational metrics reviewed weekly.

  • Weekly - summary KPIs for leadership dashboards.

  • Monthly / quarterly - finance and board-level accounting metrics.

  • Match frequency to how often you review the metric. Use Resync after configuration changes.
